Acceptable Use Policy

The conduct expected of everyone who uses the CAQA LMS website and platform, and the behaviour that is not permitted.

This Acceptable Use Policy sets out how CAQA LMS, part of CAQA Groups and a Career Calling International Pty Ltd (ABN 53 162 651 238) initiative, expects this website and the CAQA LMS platform to be used, and the conduct that is not permitted. It applies to every visitor to this website and to every administrator, trainer, assessor, learner and other user who accesses a CAQA LMS tenant.

1. Who this policy applies to

CAQA LMS serves registered training organisations, ELICOS colleges, higher education providers and enterprise learning teams, along with the staff and learners those organisations authorise. Subscribing organisations are responsible for making their users aware of this policy, and client administrators should ensure that access is only granted to people who need it.

2. Lawful and intended use

You may use this website to learn about the platform, request a tour, make an enquiry or subscribe to updates, and you may use the platform for the delivery, tracking and administration of learning within your organisation's tenant. You must comply with applicable laws, including privacy, copyright, anti-spam and computer misuse laws, and must not use the website or platform for any fraudulent, misleading, harassing or unlawful purpose.

3. Accounts and credential sharing

Platform accounts are personal. You must keep usernames, passwords and any multi-factor authentication methods confidential, must not share an account with any other person, and must not access or attempt to access another user's account or another organisation's tenant. Tell your administrator or our support team promptly if you believe your credentials have been compromised.

Organisations that upload course content, assessment tools, media or documents to their tenant must hold the rights needed to use that material and must ensure it is accurate, lawful and appropriate for its learners. CAQA LMS may remove or suspend access to content that breaches this policy, and will notify the client administrator when it does so, except where the law prevents notification.

6. Learner information

Learner records held in the platform, including enrolment details, progress data and assessment outcomes, may only be accessed and used by people authorised by the subscribing organisation and only for legitimate training, assessment, support and compliance purposes. Learner information must never be used for unrelated marketing, sold, or disclosed outside the organisation except as the law or the organisation's own privacy obligations allow. Our handling of data is described in the Data Processing and Security Notice and our Privacy Policy.

7. Intellectual property

The platform software, this website, and CAQA LMS branding, documentation and templates remain the property of CAQA Groups and its licensors. You may not copy, modify, reverse engineer or create derivative works from the platform except as the law expressly permits.

8. Monitoring and enforcement

We may monitor use of the website and platform to keep them secure, to support clients and to investigate suspected breaches of this policy. Depending on the seriousness of a breach we may issue a warning, remove content, suspend a user account or tenant under the Subscription Terms, or report unlawful conduct to the relevant authority.

9. Reporting misuse

If you see content or conduct on this website or the platform that appears to breach this policy, please report it to us. We will review reports promptly and treat the identity of reporters confidentially wherever we can.

10. Payments and advice

No payments are taken through this website; subscriptions are arranged and invoiced under written agreements as described in the Subscription Terms. The information on this website is general product and service information only and is not legal, regulatory or compliance advice.
